MOP Introduction and Next Steps for Pre-Appointees

It is possible to begin the MOP application process before your appointment is finalized. However, there are some appointment processes and certifications that need to be completed before an allocation request can be submitted on your behalf.
The engagement of the offer letter is the first step in the formal academic appointment process. Once you sign the offer letter, the department and HR will create an appointment packet for you in Advance (the UCSF electronic appointment and advancement review system) and you will be invited to enter and certify your CV. The appointment process includes review at several levels (department, dean, the Academic Senate for appointments which require peer-review, and the vice provost academic affairs). If you would like to start the home loan program process and an appointment packet has been created for you in Advance which has been approved at the department level but is not fully approved at all levels of review, these are the steps in the process:
- Inform your department manager or the department representative who has been recruiting you that you would like to initiate a request for participation in the home loan program. (They should know how to take it from there. If you encounter any confusion, please refer them to Home Loan Program Manager Wilson Hardcastle who will be happy to assist.)
- Once your appointment packet is complete and certified by the chair, the department can submit a MOP Allocation Request to the dean's office,. With the academic dean’s concurrence they will submit the formal request to the Office of Faculty and Academic Affairs along with other necessary documentation.
- After the Office of Faculty and Academic Affairs receives the materials from the dean's office, the home loan program manager will follow up with you with a few preliminary questions regarding income, debt obligations, and what you are looking for in a home purchase. You will not need to provide any supporting documentation at this time. Using this information and other materials, a qualifying scenario and the necessary certifications will be submitted to the Office of Loan Programs (OLP) with a request for an application activation. This office will notify you of this submission and that a portion of the campus allocation has been reserved for your use for a home loan (this is known as an “allocation reservation”).
- Once received, the Office of Loan Programs will send you a unique and secure link the online mortgage application system, where you may complete your loan application online.
- After your have completed and submitted you loan application and supporting documentation to the Office of Loan Programs, you will be assigned an underwriter and they will provide a pre-approval certificate within three-to-five business days.
While this may seem rather elaborate, the process can be quite efficient. Typically, the portion that takes the most time is completing the appointment packet itself. For a chart outlining the steps in this process with an estimate of the time each step takes, click here.
