Every Expectation Letter

Program eligibility is restricted to faculty and senior managers in certain appointment titles.  If the department or campus would like to request  participation in the Mortgage Origination Program before a candidate’s eligible title is fully approved, the program requires a letter of certification regarding the pending appointment and the date-certain by which the department has every expectation that the eligible appointment will be fully approved at all levels of review.  This letter may be used temporarily until such the MOP-eligible appointment can be verified in the payroll system.  

Candidates must be in their eligible tile within 180 days of funding or the loan may be called due.  To ensure this, campus policy is that departments may request participation before the full approval of the MOP-eligible academic appointment once the appointment has been fully approved at the department level.  This approval is marked by the chair’s certification of the appointment packet in Advance.  

Exigent requests for earlier reservations may be discussed with the home loan program manager (Wilson Hardcastle, (415) 476-2016), but an appointment packet must be active in Advance with a minimum threshold of progress.  

The Every Expectation Letter should be addressed to Home Loan Program Manager Wilson Hardcastle, and signed by the department chair or an authorized representative such as a department or academic affairs manager.  

Sample language for the every expectation letter:

“Dr. Carol Miller is proposed for appointment as an Associate Professor In Residence and the Fran Hardcastle Endowed Professorship in the Department of Pediatrics effective July 1, 2021.  The appointment packet was submitted for academic review on January 15, 2021.  The Department has every expectation that this appointment will be completed and approved at all levels of review no later than June 30, 2021.”

The date of submission is the date that the packet was certified by the chair in Advance.  The "every expectation" date can be your best estimate, and your HR shared services generalist may be able to help you with the expected approval date.

Once signed, the letter should be attached to the MOP/SHLP Allocation Request Form along with a copy of the fully-executed offer letter and submitted to the dean’s office.
